Contact and information requests

When you contact us, we process the data you provide. This may include your name, contact details, organisation name and the content of your message. We use this data to answer your question and handle your request.

For a quotation request, we process the data needed to take steps at your request before entering into a contract. For other enquiries, our legitimate interest is to answer and handle your message carefully.

Without the necessary contact details, we may be unable to handle your request.

Purchases and service

For a purchase or service request, we may also process address details, invoicing details and information about your instrument. We use this data to fulfil our commitments, deliver products and provide service. The legal basis for this is the performance of our contract with you.

For our tax records, we process data on the basis of a legal obligation. Where we need to retain data to handle complaints or legal claims, we do so on the basis of our legitimate interest.

Newsletter

If you subscribe to our newsletter, we use the details you provide to send you news about our organs, activities and concerts. We do this on the basis of your consent.

You can also consent to receiving our newsletter when booking a concert. A booking in itself does not constitute consent.

You can unsubscribe at any time using the unsubscribe option in our messages or by contacting us. Withdrawing your consent does not affect the lawfulness of our previous use of your data.

Concerts and events

When you book a concert or event with us, we use the necessary contact and reservation details to process your booking and inform you about the event. We do this to perform the contract.

We handle bookings for free concerts directly. Tickets for paid concerts are sold through WeTicket or AFAS Theater, depending on the event.

When you order through these parties, personal data is processed for booking, payment and admission to the event. Their privacy statements explain how they handle this data. To the extent that we receive booking details, we use them to organise and administer the event concerned.

How long we retain data

We retain personal data no longer than necessary for the purpose for which we received it. We apply the following retention periods.

Contact enquiries and quotation requests

We retain this data for a maximum of twelve months after the enquiry or request has been handled, unless it leads to a purchase or another ongoing contract.

Customer and service data

We retain the necessary data throughout the customer relationship and for a maximum of five years after the last delivery or completed service. Where data is needed for longer in connection with an ongoing warranty, complaint or legal claim, we retain only the data necessary for that purpose until the matter has been resolved.

Administrative data

We retain data forming part of our basic tax records for seven years from the date on which the statutory retention period begins. For data subject to a statutory period of ten years, we apply that longer period.

Newsletter data

We retain your data for sending newsletters until you unsubscribe. We retain proof of your consent for up to five years after the last message for which that consent was used. To respect your decision to unsubscribe, we may retain your email address and an unsubscribe record for as long as necessary to prevent unwanted messages.

Reservation data

We retain reservation data for a maximum of three months after the event, unless it is still needed for an ongoing enquiry, refund or complaint. Financial data is subject to the applicable statutory retention period. If you have also subscribed to our newsletter, we retain the data needed for that purpose separately, in accordance with the period stated above.

With whom we share data

If your enquiry can be better handled by a dealer or representative, we discuss this with you beforehand. We do not share your data with that party without your knowledge. This concerns only the dealer or representative in your country, or the party responsible for your country. Where consent is required, we request it in advance.

Service providers may also process data for our website, digital communications, administration, newsletter and ticket sales. We provide only the data necessary for the relevant purpose. We make appropriate confidentiality and security arrangements with parties that process personal data on our behalf.

When data is transferred outside the European Economic Area, there must be a valid legal basis for doing so, such as an adequacy decision or appropriate contractual safeguards.

Cookies and external services

Our website uses cookies and similar technologies to make the website function, remember preferences and support forms. The website also includes links and integrations for statistics, advertising, videos and protection against unwanted or automated form submissions.

External Google services may be used for these purposes, such as YouTube, reCAPTCHA and services for visitor statistics and advertising measurement. Depending on the function used, these parties may process technical data, such as your internet address, browser data and information about your use of the website.

For cookies and data processing that require consent, we request it in advance through the cookie notice. You can accept or reject them there. Rejecting optional cookies does not affect your ability to contact us. Certain external functions, such as embedded videos, may have limited availability without consent.

Where processing is necessary for a secure and properly functioning website, we rely on our legitimate interest. For optional processing that requires consent, your consent is the legal basis.

Security

We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access and unlawful use. Only people who need your data for their work are given access.

Your rights

You can ask us which personal data we process about you and have inaccurate data corrected. Subject to the conditions of data protection law, you can also request erasure, restriction of processing or portability of your data.

Where we process data on the basis of a legitimate interest, you can object to that processing. You can always object to use for direct marketing.

Send your request to info@contentorgans.com. We may ask for additional information to verify your identity. In principle, we respond within one month. If an extension is necessary, we will notify you within that month and explain the reason.

Questions or complaints

If you have questions about your privacy or are dissatisfied with how your data is handled, please contact us. You can also lodge a complaint with the Dutch Data Protection Authority, Autoriteit Persoonsgegevens, via www.autoriteitpersoonsgegevens.nl.

Changes

We may amend this privacy statement when our services or the way we process personal data change. You will find the current version on this page.
